Wedge: How to set up a new agency

Summary: This article covers the full process for setting up a new partner agency in itrvl β from importing the agency and configuring the lead agent account, to cleaning up duplicate agents, setting feature flags, and uploading brand details. This is an internal process carried out by the itrvl team.

Prerequisites
You have itrvl admin access
You have the agency code for the new agency (source Window - ARM)
You have access to the agency's website to pull brand assets (logo, primary color)
Steps
Part 1: Import the agency
Navigate to All Agencies in the itrvl admin panel.

Click New Agency in the top right corner.

In the search field, enter the agency code provided for this agency.

itrvl will find the agency and display a list of agents associated with it. Review the list to confirm the correct agency has been matched.
If there is a lead agent already identified: uncheck them from receiving an automatic invite email before proceeding. You will handle their account manually in Part 2. All other agents can remain unchecked β their accounts will be created silently by default.

Click Create Accounts.
Part 2: Configure the lead agent account
Once accounts are created, search the agency in the Agencies list and click View Agency Detail.

Locate the lead agent in the agent list and click View Details.

On the Agent Details page, update the agent's email address to the following format:
contact+[agencyname]@itrvl.comFor example, for All World Travel the email would be:
contact+AllWorldTravel@itrvl.comClick Save to save the email change.
Click Grant Retail and Lead Agent Access

Part 3: Set feature flags
On the Agency Details page, scroll down to the Customization section on the left side.
Enable the following feature flags by checking each box:
β Use New Enquire Flow
β Use Enquire 3
β New Payment Flow
β Client Portal Share Links V2
β Agent Booking Document Selection
β Allow AI Chat
β Use Flywire Payments
β Client Portal β Show Accommodation Profile Links
β Enable Signup
If applicable to agency consortia:
β Disable Escrow Fees
β Disable Transfer Discounts
All other flags should remain unchecked unless specifically required for this agency.

Part 4: Archive and delete extra agents
β οΈ Important: There is a known UI behavior in this step. The Archive button must be clicked first. After archiving, refresh the page β the button will update to Delete. You can then click Delete to fully remove the agent. Do not skip the refresh step or the Delete option will not appear.
Return to the agent list on the Agency Details page.
For every agent except the lead agent you configured in Part 2, click Archive.

After archiving all extra agents, refresh the page.
The Archive button next to each archived agent will now show as Delete. Click Delete for each agent to permanently remove them. DO NOT DELETE the Lead Agent you updated details for.
π‘ Note: You must keep at least one agent (the lead agent) active at all times during setup. Do not archive the lead agent.
Part 5: Upload brand details
From the Agency Details page, click Masquerade next to the lead agent. This logs you in as that agent.

Once masquerading, navigate to My Agency from the main navigation.

Upload the agency's logo using the logo upload field.
Enter the agency's primary brand color (hex code). You can find this on the agency's website β use your browser's developer tools or a color picker tool to identify the correct hex value if it is not published.

Click Save (or the equivalent save action on the page).
Exit the masquerade session to return to your admin account.
Navigate to the Emails tab.
For Edge Users: Enter wedge@wildernessdestinations.com for every team.
For itrvl Partner Users: Enter respective wilderness emails

Part 6: Generate and share signup links
Navigate back to the Agency Details page for this agency.
Scroll down to the Signup Config section.
To generate the lead agent link: confirm the Default Role dropdown is set to Lead Agent. Copy the signup link using the Copy button.

To generate the retail agent link: change the Default Role dropdown to Retail Agent. Copy the signup link using the Copy button.

β οΈ Email Domain Restriction: There is an optional Email Domain Restriction field in Signup Config. Confirm with [process owner TBD] whether this should be cleared or set for this agency before sharing links. See open questions note at the top of this article.
Share the lead agent link and the retail agent link with the appropriate contact at the agency. Direct them to the article How to share itrvl access with your team for instructions on what to do with these links.
Checklist β before you finish
Use this to confirm setup is complete before closing out the agency:

[ ] Lead agent email updated to
contact+[agency]@itrvl.com[ ] Lead Agent, Content Manager, and Retail (Edge) access granted
[ ] All standard feature flags enabled
[ ] All extra agents archived and deleted
[ ] Logo and primary brand color uploaded via Masquerade β My Agency
[ ] Lead agent signup link generated and shared
[ ] Retail agent signup link generated and shared
