How to mark an invoice as paid

Summary: Learn how to manually mark an invoice as paid in itrvl. This is useful when processing payments or transferring invoices from one itinerary to another. This guide is for Travel Designers and Operations staff managing payments on their bookings.

Prerequisites

  • You have an itinerary open in itrvl

  • Invoices have been generated on the itinerary

Steps

  1. Open the itinerary and click on the Payments tab, located below Cost Summary and next to Trip Details.

  2. Find the invoice you want to mark as paid and click the Pay button.

  3. Confirm that the amount is correct.

  4. Add a Client Note if needed. For example, if you are copying invoices from another itinerary, you might include the last 4 digits of the credit card used for the original payment.

  5. Click the Send Payment Receipt Upon Confirmation checkbox to ensure the client receives an email with their receipt (Alternatively uncheck it if you don’t want the email to be sent).

  6. Click Pay Invoice to confirm.

  7. The Payments page will update to reflect the payment. To download the receipt, click the download icon on the left end of the invoice.

Tips & Important Notes

Always send the receipt. Make sure the "Send Payment Receipt Upon Confirmation" checkbox is selected before clicking Pay Invoice. This automatically emails the client a copy of the receipt.

Use Client Notes for context. When transferring invoices between itineraries or recording payments made outside of itrvl, the Client Note field is a good place to capture relevant details like payment method or reference numbers.
