Re-invoicing when a change affects the price

When a change is made to a confirmed booking that increases the sell price, invoices need to be updated to reflect the new amount. This article covers how to identify when you are under-invoiced and how to correct it.

How to identify that re-invoicing is needed

After refreshing a booking in itrvl following a Window change, check the cost summary. If the sell price has increased you will see:

  • The % invoiced indicator has dropped below 100%

  • A message showing invoices do not match selling price

  • The amount you are under-invoiced by


Two ways to re-invoice

Depending on whether the additional amount needs to be paid immediately or can wait until the balance due date, handle it one of two ways:


Option 1 — Add the difference to the balance invoice

Use this when the additional amount does not need to be paid right away.

  1. Click the pencil icon on the balance invoice.

  2. Increase the balance amount by the difference between the new sell price and the current total invoiced.

  3. Update any relevant notes to reflect the change.

  4. Click Save Invoice.

The payment link will update automatically — the agent does not need a new link.


Option 2 — Generate a separate invoice for immediate payment

Use this when the additional amount needs to be paid right away — for example, regional flights or a helicopter tour added post-confirmation.


Confirming re-invoicing is complete

Once you have updated invoices, check the % invoiced indicator in the cost summary again. It should be back at 100%. If it is not, review your invoice amounts and adjust accordingly.


Important: The sell price in itrvl updates automatically when a booking is refreshed after Window changes. Invoices do not update automatically — this is intentional, as the client has already been communicated a price. Always check the % invoiced indicator after every booking change.
